The rules of engagement for The Suits Network

1. Acceptance of Terms

By creating an account, accessing, or using The Suits Network (“the Platform”, “we”, “us”, or “our”), you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions (“Terms”) in their entirety. These Terms constitute a legally binding agreement between you (“Member”, “you”, or “your”) and The Suits Network.

If you do not agree to any provision of these Terms, you must immediately cease using the Platform and delete your account. Your continued use of the Platform following any amendments to these Terms constitutes your acceptance of those changes.

2. Definitions

Throughout these Terms, the following definitions apply:

  • “Content” means any text, photographs, images, articles, comments, messages, poll responses, style journal entries, mood statuses, group posts, profile information, and any other material uploaded, posted, or transmitted through the Platform.
  • “Member” means any individual who has created an account on the Platform.
  • “Admin” means a designated administrator of the Platform with elevated privileges.
  • “Services” means all features, tools, and functionality provided through the Platform, including but not limited to the Gallery, Events, Groups, Messaging, Shop, Leaderboard, Style Journal, Polls, Articles, and Member Directory.
  • “User-Generated Content” or “UGC” means any Content created, uploaded, or submitted by Members.

3. Eligibility & Registration

3.1 Age Requirement

You must be at least 18 years of age to register for and use the Platform. By creating an account, you represent and warrant that you are 18 years of age or older. We reserve the right to request proof of age at any time and to terminate accounts where the Member is found to be under 18.

3.2 Accurate Information

You agree to provide truthful, accurate, current, and complete information during the registration process. This includes, but is not limited to, your name, email address, username, location, and any other details requested. You agree to promptly update your information to keep it accurate and complete.

3.3 One Account Per Person

Each individual may maintain only one account. Creating multiple accounts for any purpose — including circumventing bans, manipulating polls, inflating leaderboard scores, or evading blocks — is strictly prohibited and will result in immediate termination of all associated accounts.

4. Account Security & Responsibilities

4.1 Credential Security

You are solely responsible for maintaining the confidentiality and security of your login credentials, including your email address and password. You must not share your credentials with any third party. You agree to use a strong password that is unique to the Platform.

4.2 Account Activity

You are responsible for all activity that occurs under your account, whether or not you authorised such activity. This includes all messages sent, content uploaded, purchases made, event RSVPs, poll votes, friend requests, and any other interactions.

4.3 Unauthorised Access

You agree to notify us immediately if you become aware of, or suspect, any unauthorised access to or use of your account. We shall not be liable for any loss or damage arising from your failure to safeguard your credentials or to notify us of unauthorised access.

4.4 Account Deletion

You may request deletion of your account at any time by contacting us through the contact page. Upon deletion, your profile information will be removed. However, Content you have contributed to shared spaces (e.g. group posts, comments on photos, poll votes) may remain in an anonymised form. We reserve the right to retain certain data as required by law or for legitimate business purposes, as outlined in our privacy practices.

5. Community Standards & Code of Conduct

The Suits Network is a gentlemen’s community built on mutual respect, decorum, and shared passion for classic style. All Members are expected to conduct themselves accordingly. When using the Platform, you agree to abide by the following:

5.1 Prohibited Conduct

You shall not:

  • Post, upload, or transmit Content that is offensive, abusive, defamatory, discriminatory, vulgar, threatening, sexually explicit, or otherwise objectionable
  • Harass, bully, stalk, threaten, or intimidate any other Member, whether publicly or through private messages
  • Engage in hate speech, racism, sexism, homophobia, or any form of discrimination based on race, ethnicity, nationality, religion, gender, sexual orientation, disability, or any other protected characteristic
  • Impersonate any person, business, or entity, or misrepresent your identity, credentials, or affiliations
  • Upload Content that infringes upon any third party’s intellectual property rights, including copyrights, trademarks, patents, or trade secrets
  • Distribute spam, unsolicited promotional material, chain letters, pyramid schemes, or any form of commercial solicitation without prior written consent from the Platform administration
  • Post or distribute malware, viruses, trojan horses, worms, or any other malicious software or code
  • Attempt to gain unauthorised access to other Members’ accounts, the Platform’s systems, servers, networks, or databases
  • Use automated tools, bots, scrapers, crawlers, or similar technologies to access, collect data from, or interact with the Platform without express written permission
  • Circumvent, disable, or interfere with any security features, access controls, or usage limitations of the Platform
  • Use the Platform for any unlawful purpose, or in violation of any applicable local, national, or international law or regulation
  • Manipulate polls, leaderboard rankings, spotlight nominations, or any gamification element through fraudulent means
  • Create, share, or distribute Content that exploits minors in any way
  • Engage in doxxing — the publication of another Member’s private or identifying information without their explicit consent

5.2 Content Moderation

All photographs and articles submitted to the Platform are subject to administrative review and approval before being made visible to other Members. We reserve the right, but are not obligated, to review, monitor, edit, or remove any Content at our sole discretion and without notice if we determine it violates these Terms or is otherwise inappropriate.

5.3 Reporting & Blocking

Members may report inappropriate Content or behaviour, and may block other Members. When you block a Member, they will be unable to view your profile, send you messages, or interact with your Content. We take all reports seriously and will investigate them in a timely manner. However, filing false or malicious reports is itself a violation of these Terms.

5.4 Messaging Conduct

Private messages between Members are subject to the same community standards as public Content. You must not use the messaging system to harass, threaten, spam, or send unsolicited commercial communications. Members may disable direct messages in their privacy settings, and this preference must be respected.

6. Content Ownership & Licence

6.1 Your Content

You retain full ownership of all original Content you upload to the Platform, including photographs, articles, style journal entries, group posts, and profile information.

6.2 Licence Grant

By posting Content on the Platform, you grant The Suits Network a non-exclusive, worldwide, royalty-free, sublicensable, transferable licence to use, reproduce, display, distribute, modify, adapt, and create derivative works of your Content solely for the purposes of operating, developing, providing, promoting, and improving the Platform and its Services. This licence continues for a commercially reasonable period after you remove your Content, to account for backup copies and cached versions, but will not exceed 90 days after removal.

6.3 Featured Content

Content selected for features such as “Suit of the Week”, “Member Spotlight”, or promotional materials may be displayed prominently on the Platform. By submitting Content, you consent to its potential selection for such features. You will be credited as the author where practical.

6.4 Content Removal

You may remove your Content at any time, which will terminate the licence granted above (subject to the 90-day grace period for backups). We are not responsible for Content that has been shared, downloaded, cached, or otherwise retained by other Members or third parties prior to removal.

6.5 Platform Content

All Platform content — including but not limited to the design, layout, graphics, logos, branding, icons, text, software, and any other materials created by The Suits Network — is the exclusive property of The Suits Network and is protected by copyright, trademark, and other intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from Platform content without our prior written consent.

7. Gallery & Photographs

7.1 Photo Submissions

Photographs uploaded to the Gallery or used as profile images must comply with these Terms and our community standards. You represent and warrant that you own or have the necessary rights, licences, and permissions to upload each photograph, including the consent of any identifiable individuals depicted.

7.2 Approval Process

All Gallery photographs are subject to admin review before publication. We reserve the right to reject any photograph that does not meet our quality or community standards, without obligation to provide a reason. You will be notified of approval or rejection decisions.

7.3 Interactions with Photos

Members may like, comment on, and react to photographs. Comments and reactions are subject to the same community standards as all other Content. We reserve the right to remove comments or reactions that violate these Terms.

7.4 Profile Photos

Profile photographs should accurately represent you and should be appropriate for a professional, style-focused community. We reserve the right to remove or replace profile photographs that are misleading, offensive, or otherwise in violation of these Terms.

8. Events

8.1 Event Participation

The Platform may list events that Members can RSVP to and attend. By RSVPing to an event, you indicate your intention to attend. We encourage Members to honour their RSVPs, as event planning relies on accurate attendance figures.

8.2 Paid Events & Tickets

Certain events may require payment for attendance. All payments for paid events are processed securely through our designated third-party payment provider. By purchasing a ticket, you agree to the payment terms presented at the time of purchase. Ticket prices are displayed inclusive of any applicable taxes unless otherwise stated.

8.3 Refund Policy for Events

Refund policies for individual events are determined by the event organiser and will be clearly stated on the event listing. Unless otherwise specified: (a) refund requests made more than 7 days before the event will be honoured in full; (b) refund requests made within 7 days of the event are at the organiser’s discretion; (c) no refunds will be issued after the event has taken place. The Suits Network acts as a facilitator and is not directly responsible for refund disputes between Members and event organisers.

8.4 Event Conduct

Members attending events — whether virtual or in-person — are expected to conduct themselves with the same decorum as on the Platform. The community standards set out in Section 5 apply equally to event attendance. Disruptive, offensive, or dangerous behaviour at events may result in removal from the event and/or suspension of your Platform account.

8.5 Event Photos

Photographs taken at events and uploaded to the Platform are subject to the same rules as Gallery photographs. By attending an event, you acknowledge that photographs may be taken in which you appear, and you consent to those photographs being shared on the Platform for promotional and community purposes.

9. Groups

9.1 Group Participation

Members may join, create, or participate in Groups organised around shared interests. All Group activity — including posts, discussions, and shared photographs — is subject to these Terms and our community standards.

9.2 Group Administration

Group creators and designated administrators bear additional responsibility for maintaining community standards within their Groups. Platform administrators reserve the right to intervene in, moderate, or remove Groups that violate these Terms, regardless of Group-level permissions.

9.3 Group Content

Content posted within Groups is subject to the same ownership and licence provisions as outlined in Section 6. The Suits Network is not responsible for Content posted by Members within Groups, but we will act on reported violations.

10. Shop & Purchases

10.1 Products & Availability

The Platform may offer products for sale through its integrated Shop. Product descriptions, images, and prices are provided for informational purposes and are subject to change without notice. We make reasonable efforts to ensure accuracy but do not guarantee that product descriptions, images, pricing, or availability are error-free.

10.2 Orders & Payment

By placing an order, you make an offer to purchase the selected products. An order is not binding until we issue an order confirmation. All payments are processed securely through our designated third-party payment provider. You represent that you are authorised to use the payment method provided.

10.3 Pricing & Currency

All prices displayed are in the currency stated on the product listing. Prices are inclusive of VAT where applicable unless otherwise stated. We reserve the right to correct pricing errors, even after an order has been placed. In such cases, you will be given the option to proceed at the corrected price or cancel the order for a full refund.

10.4 Delivery

Delivery options and associated costs are displayed during the checkout process. Estimated delivery times are provided in good faith but are not guaranteed. Risk of loss passes to you upon delivery of the product to the address specified in your order. We are not liable for delays caused by third-party carriers, customs, or circumstances beyond our control.

10.5 Returns & Refunds for Products

If you are not satisfied with a product, you may request a return within 14 days of receipt, provided the product is in its original condition, unworn, and with all tags attached. To initiate a return, contact us via the contact page. Refunds will be processed to the original payment method within 14 business days of receiving the returned product. Return shipping costs are the responsibility of the Member unless the product was faulty or incorrectly dispatched.

10.6 Faulty or Incorrect Products

If you receive a faulty, damaged, or incorrect product, please contact us within 48 hours of delivery. We will arrange a replacement or full refund, including return shipping costs, at no additional cost to you.

11. Messaging & Introductions

11.1 Private Messaging

The Platform provides a private messaging system for communication between Members. Messages must comply with our community standards. Sharing the contents of private messages publicly without the sender’s consent is prohibited unless the message itself constitutes a violation of these Terms (in which case, it may be reported to administrators).

11.2 Introduce Me Feature

The “Introduce Me” feature allows Members to request warm introductions to other Members through mutual connections. By using this feature, you consent to your name and basic profile information being shared with the introduced party. You may decline any introduction request without consequence. Misuse of the introduction system for spam or solicitation is prohibited.

11.3 Message Reporting

Members may report messages that violate these Terms. Reported messages will be reviewed by administrators. We reserve the right to take action against Members whose messages are found to violate our community standards, up to and including account termination.

12. Polls, Leaderboard & Gamification

12.1 Polls

Members may participate in community polls. Each Member is entitled to one vote per poll. Attempting to manipulate poll results through multiple accounts, automated tools, or any other means is strictly prohibited and may result in account suspension.

12.2 Leaderboard & Badges

The Platform features a leaderboard system that tracks Member engagement and awards badges based on participation. Leaderboard rankings and badge criteria are determined by the Platform and may be adjusted at any time without notice. Leaderboard positions and badges carry no monetary value and confer no rights beyond the recognition displayed on the Platform.

12.3 Member Spotlight

Members may be featured in the Member Spotlight based on engagement, contributions, and community participation. Being featured is at the sole discretion of the Platform administrators. Featured Members consent to having their profile information and selected Content displayed more prominently.

12.4 Fair Play

All gamification elements are designed to encourage genuine engagement. Any attempt to game, exploit, or artificially inflate rankings, badge counts, or spotlight nominations through dishonest means — including collusion with other Members — is a violation of these Terms.

13. Articles & Style Journal

13.1 Articles

Members may submit articles on topics related to the Platform’s themes. All articles are subject to editorial review and approval by administrators before publication. We reserve the right to edit articles for clarity, formatting, or compliance with community standards. You retain authorship credit for published articles.

13.2 Style Journal

The Style Journal feature allows Members to maintain a personal log of their outfits, style notes, and sartorial observations. Style Journal entries are your personal Content and are subject to the ownership and licence terms in Section 6. Entries may be visible to other Members based on your privacy settings.

13.3 Originality

You represent and warrant that all articles and written Content you submit are your original work or that you have the necessary rights and permissions to submit them. Plagiarism is strictly prohibited and will result in Content removal and potential account action.

14. Friends, Following & Social Features

14.1 Friend Requests & Connections

Members may send and receive friend requests. Accepting a friend request establishes a mutual connection. You are under no obligation to accept any friend request. Repeatedly sending unwanted friend requests after being declined may constitute harassment.

14.2 Following

Members may follow other Members to stay updated with their activity. Following is a one-directional action and does not require reciprocation. Members may adjust their visibility and following preferences through their privacy settings.

14.3 Blocking

You may block any Member at any time. Blocking a Member will prevent them from viewing your profile, sending you messages, commenting on your Content, and interacting with you in any way on the Platform. Blocked Members will not be notified of the block. You may unblock Members at any time through your blocked users list.

14.4 Mood Status

Members may set a mood status visible to others. Mood statuses must comply with our community standards and should not contain offensive, threatening, or inappropriate language.

15. Notifications & Newsletters

15.1 Platform Notifications

The Platform sends notifications for various activities including friend requests, messages, photo approvals, event reminders, mentions, and other interactions. You can manage your notification preferences in your account settings.

15.2 Email Communications

By registering, you consent to receive essential account-related emails (e.g. welcome emails, password resets, security alerts). You may also opt in to receive promotional newsletters, style tips, and community updates. You may unsubscribe from non-essential emails at any time using the unsubscribe link provided in each email or by adjusting your notification settings.

15.3 Newsletter Content

Newsletters sent by the Platform may contain community news, featured Content, event announcements, and promotional material. The content of newsletters is for informational purposes and does not constitute professional advice.

16. Privacy & Data Protection

16.1 Data Collection

We collect and process personal data in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The categories of personal data we collect include: registration details (name, email, username), profile information (location, biography, preferences), uploaded Content, usage data (pages visited, features used, timestamps), and communication data (messages, reports).

16.2 Lawful Basis for Processing

We process your personal data on the following lawful bases: (a) performance of the contract between you and us (these Terms); (b) your consent (where explicitly given, e.g. for marketing emails); (c) our legitimate interests in operating and improving the Platform; and (d) compliance with legal obligations.

16.3 Data Storage & Security

Your data is stored securely using industry-standard encryption and access controls. Passwords are cryptographically hashed and are never stored in plain text. We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction.

16.4 Your Data Rights

Under applicable data protection law, you have the following rights:

  • Right of access — request a copy of the personal data we hold about you
  • Right to rectification — request correction of inaccurate or incomplete data
  • Right to erasure — request deletion of your personal data (“right to be forgotten”)
  • Right to restrict processing — request that we limit how we use your data
  • Right to data portability — receive your data in a structured, machine-readable format
  • Right to object — object to processing based on legitimate interests or direct marketing
  • Right to withdraw consent — withdraw consent at any time where processing is based on consent

16.5 Cookies

We use cookies and similar technologies to operate and improve the Platform. For detailed information about the cookies we use and how to manage your preferences, please refer to our Cookie Policy.

16.6 Third-Party Disclosure

We do not sell, rent, or trade your personal data to third parties. We may share data with trusted service providers who assist us in operating the Platform (e.g. hosting, payment processing, email delivery), but only to the extent necessary and under strict contractual obligations to protect your data. We may also disclose data when required by law, regulation, legal process, or governmental request.

16.7 Data Retention

We retain your personal data for as long as your account is active and for a reasonable period thereafter for legal, business, and archival purposes. Upon account deletion, personal data will be erased within 90 days, except where retention is required by law (e.g. financial transaction records).

17. Privacy Settings & Preferences

The Platform provides granular privacy controls including:

  • Direct messages — enable or disable receipt of direct messages from other Members
  • Last active visibility — choose whether your last active timestamp is visible to others
  • Directory visibility — opt out of appearing in the Member directory
  • Notification preferences — customise which notifications you receive for photo approvals, event reminders, friend requests, and mentions
  • Sound settings — enable or disable application sounds

These settings can be adjusted at any time through your account’s appearance and privacy settings. We respect your privacy choices, and other Members are expected to do the same.

18. Intellectual Property

18.1 Platform Trademarks

“The Suits Network”, “TSN”, and all related logos, service marks, and trade names are trademarks of The Suits Network. You may not use these trademarks without our prior written consent.

18.2 Copyright Claims

If you believe that any Content on the Platform infringes your copyright, please contact us through the contact page with the following information: (a) a description of the copyrighted work; (b) the location of the allegedly infringing material on the Platform; (c) your contact information; (d) a statement that you believe in good faith the use is not authorised; and (e) a statement under penalty of perjury that the information is accurate and you are the copyright owner or authorised to act on their behalf.

19. Disclaimers & Warranties

19.1 “As Is” Basis

The Platform and all Services are provided on an “as is” and “as available” basis, without warranties of any kind, whether express, implied, statutory, or otherwise. We expressly disclaim all implied warranties, including but not limited to implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement.

19.2 No Guarantee of Availability

We do not warrant that the Platform will be available at all times, uninterrupted, secure, or error-free. We may suspend or discontinue any part of the Platform at any time, with or without notice, for maintenance, upgrades, or other reasons.

19.3 User-Generated Content Disclaimer

We are not responsible for the accuracy, reliability, completeness, or legality of User-Generated Content. Views expressed by Members are their own and do not represent the views of The Suits Network. We do not endorse any UGC or any opinion, recommendation, or advice expressed therein.

19.4 Style Tips & Advice

Daily style tips, articles, and any advice provided on the Platform are for general informational and entertainment purposes only. They do not constitute professional fashion, grooming, or lifestyle advice. You should exercise your own judgement when applying any tips or advice.

19.5 Third-Party Links

The Platform may contain links to third-party websites, products, or services. We do not control, endorse, or assume responsibility for any third-party content, privacy practices, or terms of service. Accessing third-party links is at your own risk.

20. Limitation of Liability

20.1 General Limitation

To the fullest extent permitted by law, The Suits Network, its directors, employees, partners, agents, suppliers, and affiliates shall not be liable for any indirect, incidental, special, consequential, punitive, or exemplary damages, including but not limited to damages for loss of profits, goodwill, data, or other intangible losses, arising from or in connection with your use of the Platform.

20.2 Specific Limitations

Without limiting the foregoing, we shall not be liable for:

  • Any loss or damage resulting from unauthorised access to your account
  • Any errors, mistakes, or inaccuracies in Content
  • Any interruption or cessation of service
  • Any bugs, viruses, or malicious code transmitted through the Platform by third parties
  • Any disputes between Members, including those arising from events, transactions, introductions, or messages
  • Any actions taken by Members at events, whether organised through the Platform or otherwise
  • Any loss resulting from products purchased through the Shop where such products are provided by third-party sellers

20.3 Cap on Liability

In no event shall our total aggregate liability to you for all claims arising from or relating to these Terms or your use of the Platform exceed the total amount paid by you to us in the twelve (12) months preceding the claim, or £100, whichever is greater.

20.4 Statutory Rights

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

21. Indemnification

You agree to indemnify, defend, and hold harmless The Suits Network, its directors, officers, employees, agents, and affiliates from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with: (a) your use of the Platform; (b) your violation of these Terms; (c) your violation of any rights of another party, including intellectual property rights; (d) Content you submit, post, or transmit through the Platform; or (e) your conduct at any event.

22. Account Suspension & Termination

22.1 Our Rights

We reserve the right, at our sole discretion and without prior notice or liability, to: (a) issue a warning; (b) temporarily suspend your account; (c) permanently terminate your account; (d) remove any Content you have posted; or (e) restrict your access to certain features — if we reasonably believe you have violated these Terms, engaged in fraudulent activity, or if your account poses a risk to other Members or the Platform.

22.2 Effect of Termination

Upon termination: (a) your right to access and use the Platform ceases immediately; (b) outstanding orders or event tickets may be honoured or refunded at our discretion; (c) provisions of these Terms that by their nature should survive termination will survive, including but not limited to Sections 6 (Content Ownership), 20 (Limitation of Liability), 21 (Indemnification), and 24 (Governing Law).

22.3 Appeals

If your account is suspended or terminated and you believe this was in error, you may appeal by contacting us through the contact page. Appeals will be reviewed within 14 days. Our decision on appeals is final.

23. Changes to These Terms

We reserve the right to revise, amend, or update these Terms at any time. When changes are made, the updated version will be posted on this page with a revised “Last updated” date. For material changes, we will make reasonable efforts to notify Members through Platform notifications or email.

Your continued use of the Platform following the posting of revised Terms constitutes your acceptance of and agreement to the changes. If you do not agree with the revised Terms, you must stop using the Platform and delete your account.

24. Governing Law & Dispute Resolution

24.1 Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict-of-law principles.

24.2 Jurisdiction

You agree to submit to the exclusive jurisdiction of the courts of England and Wales for the resolution of any disputes arising from or in connection with these Terms or your use of the Platform. Nothing in this clause affects your statutory right to bring proceedings in the courts of your country of residence if you are a consumer.

24.3 Informal Resolution

Before initiating any formal legal proceedings, you agree to first attempt to resolve any dispute informally by contacting us through the contact page. We will endeavour to resolve complaints within 30 days of receipt.

25. General Provisions

25.1 Entire Agreement

These Terms, together with our Cookie Policy and any other policies referenced herein, constitute the entire agreement between you and The Suits Network regarding your use of the Platform and supersede all prior agreements, communications, and understandings, whether written or oral.

25.2 Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, that provision shall be modified to the minimum extent necessary to make it enforceable, or if modification is not possible, it shall be severed. The remaining provisions shall continue in full force and effect.

25.3 Waiver

Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision. A waiver of any term shall not be deemed a continuing waiver of that term or any other term, and our failure to assert any right under these Terms shall not constitute a waiver of that right.

25.4 Assignment

You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations under these Terms without restriction and without notice to you.

25.5 Force Majeure

We shall not be liable for any delay or failure to perform our obligations under these Terms if such delay or failure is caused by circumstances beyond our reasonable control, including but not limited to natural disasters, war, terrorism, pandemics, strikes, power failures, internet outages, or government actions.

25.6 No Third-Party Rights

These Terms do not confer any rights on any third party under the Contracts (Rights of Third Parties) Act 1999 or otherwise. Only you and The Suits Network may enforce these Terms.

25.7 Headings

The section headings in these Terms are for convenience only and shall not affect the interpretation of any provision.
